KDT Accredited Car Care ("KDT", "we", "us", or "our") provides mobile and studio vehicle valeting and detailing services in Leicestershire and surrounding areas. We are the data controller for personal information processed in connection with our website, quotes, bookings, and services. Questions? See section 16 (How to contact us).

2. Scope of this Policy

This policy covers personal information we collect when you:

  • visit or interact with our website kdtcarcare.co.uk

  • request a quote, make an enquiry, or book a service

  • receive our services on site (mobile) or at our studio

  • communicate with us by phone, email, SMS, WhatsApp, social media, or forms

  • appear in photos or short clips we capture for quality records and, where applicable, marketing

3. Personal Information We Collect

  • Identity and contact: name, email, phone number

  • Location: service address, town, postcode, preferred location to complete work

  • Vehicle and service: make/model, year, condition notes, selected package and extras, before/after photos, videos

  • Booking and transaction: requested dates, confirmed appointments, deposits, invoices, payment method and status (we do not store full card numbers)

  • Communications: messages and call notes across forms, email, SMS, WhatsApp, or phone

  • Website and device: pages visited, actions taken, approximate location from IP, device and browser data, cookies and analytics data (see Cookie Policy)

  • Safety and security: information necessary to conduct risk assessments for on‑site work and parking

4. Sources of Personal Information

  • Directly from you when you submit forms, call, message, or talk to us on site

  • Generated by us during quoting, booking, service delivery, and record keeping

  • Automatically from your device when using our website (cookies, analytics)

5. Purposes and Legal Bases (UK GDPR)

We process your information for the following purposes and legal bases:

  • Provide quotes, answer enquiries, and pre‑contract steps — contract or steps prior to entering a contract

  • Schedule and deliver services (mobile and studio) — contract

  • Communicate about appointments, changes, reminders, and follow‑ups — contract and legitimate interests

  • Capture photos for quality control, job records, and dispute resolution — legitimate interests

  • Showcase work (portfolio, social posts, website) — legitimate interests; you can object any time and we will stop future use, subject to legal obligations

  • Process payments, deposits, invoices, and bookkeeping — contract and legal obligation

  • Website operation, security, and performance — legitimate interests

  • Analytics and improvement — consent for non‑essential cookies plus legitimate interests

  • Legal, compliance, and insurance purposes — legal obligation and legitimate interests

We do not send direct marketing without consent.

6. Special Categories and Criminal Data

We do not intentionally collect special category data or criminal offence data. If contamination involves biological hazards (e.g., blood, vomit, mould), we record the presence only to provide the service and assess safety and pricing.

7. Sharing Your Information (Recipients)

We do not sell your data. We share only what is necessary with:

  • Hosting, website, and analytics providers (e.g., Wix, optional Google Analytics)

  • Communications providers (email, WhatsApp)

  • Payments and accounting (card processor, invoicing, bookkeeping)

  • File and photo storage (cloud storage for job records)

  • Mapping and navigation (e.g., Google Maps)

  • Professional advisers and insurers where necessary

  • Law enforcement or regulators where legally required

All sharing is under appropriate safeguards and contracts where applicable.

8. International Transfers

Some service providers may store or process data outside the UK. Where this occurs, we rely on appropriate safeguards such as the UK Addendum to the EU Standard Contractual Clauses or other approved mechanisms.

9. Data Retention

We keep data only as long as needed for the purposes in this policy:

  • Enquiries with no booking: up to 12 months after last contact

  • Client and invoice records: 7 years after service completion (legal and tax requirements)

  • Photos and service notes (quality records): up to 3 years unless you object and removal is appropriate

  • Portfolio/marketing imagery: retained until you object or it is no longer useful; we respect objections to future use

After these periods we delete or anonymise data.

10. Data Security

We use organisational and technical measures appropriate to risk, including account access controls, encryption in transit, least‑privilege access, device security, and regular review of providers.

11. Your Rights (UK GDPR)

You have the right to: access, rectification, erasure, restriction, portability, and to object to processing based on legitimate interests. Where we rely on consent, you can withdraw it at any time. To exercise rights, contact us using section 16.

12. Cookies and Similar Technologies

13. Children

Our services are not intended for people under 18. We do not knowingly collect children’s data.

14. Automated Decision‑Making

We do not perform automated decision‑making that produces legal or similarly significant effects.

15. Changes to this Policy

We may update this policy from time to time. Material changes will be reflected with an updated date at the top.
